Privacy Policy

Last updated: 21 October 2026

Visioaxis LTD ("Visioaxis", "we", "us" or "our") respects your privacy. This Privacy Policy explains how we handle personal data in connection with our website, enquiries, advertising, professional communications and client relationships.

It is intended to provide information under the EU General Data Protection Regulation ("EU GDPR") and, where applicable, the UK GDPR and other relevant data protection and electronic marketing laws.

1. Who we are

Data controller: Visioaxis LTD
Registered address: Block 21, Buxton Residential District, 1618 Sofia, Bulgaria
Email: office@visioaxis.com
Website: https://visioaxis.com

Visioaxis provides CGI, architectural and product visualisation, animation and virtual tour services to businesses and design professionals.

We act as the data controller for the personal data described in this Policy where we decide why and how it is processed. In some client projects, we may instead process personal data on the client's instructions as a data processor; that processing is governed by the relevant client arrangements and any required data processing agreement.

2. Personal data we collect

Depending on how you interact with us, we may collect:

  • Contact and professional details: name, company, job title, business email address, telephone number and professional profile information.
  • Enquiries and project information: messages, project briefs, correspondence, quotations, meeting details and information you choose to share with us.
  • Business relationship information: details of communications, proposals, projects, invoicing contacts and relevant transaction records.
  • Website and technical information: IP address, browser and device details, website usage, referring pages and interactions, subject to the applicable cookie settings and technologies in use.
  • Marketing information: your communication preferences, consent where required, records of objections or unsubscribes, and relevant interactions with our campaigns.

Please avoid sending sensitive personal data through our general enquiry forms unless it is specifically necessary and we have agreed on an appropriate way to receive it.

3. How we obtain personal data

We collect information when you contact us by email, telephone, our website contact form or professional networks; submit a form associated with an advertisement, including a Google Ads lead form; request a quotation or work with us on a project; or communicate with us at business meetings and events.

We may also receive relevant business contact details through professional introductions, client or partner referrals, publicly accessible company websites, professional directories and platforms such as LinkedIn, where lawful. When required, we provide privacy information about data obtained indirectly, including its source, within the applicable legal timeframe or when we first contact you.

Our website and permitted analytics or advertising technologies may collect technical information as described in Section 8.

4. Why we use personal data and our legal bases

We process personal data only when an applicable legal basis exists. Depending on the circumstances, our purposes and legal bases include:

Purpose Legal basis
Responding to enquiries, arranging calls and discussing potential work Our legitimate interests in responding to business enquiries; or steps requested before entering a contract where applicable
Preparing quotations, managing client relationships and delivering projects Our legitimate interests in operating and managing client work; contractual necessity where the data subject is a contracting party
Invoicing, accounting and complying with legal requirements Compliance with legal obligations; contractual necessity where applicable
Protecting our website, email and business systems against misuse or security incidents Our legitimate interests in maintaining security; legal obligations where applicable
Sending relevant B2B service information to professional contacts Our legitimate interests, where permitted and after considering the recipient's rights; consent where legally required
Sending communications that you have specifically asked to receive Consent where required, or another lawful basis appropriate to the communication
Using non-essential analytics and advertising cookies or similar technologies Consent, where required by applicable law

Our legitimate interests include responding to business enquiries, maintaining professional relationships, promoting relevant CGI services, improving our operations and protecting our systems. We consider whether those interests are outweighed by individuals' rights and expectations before relying on this basis.

5. Google Ads lead forms

If you submit an enquiry through a Google Ads lead form, we receive the details you choose to provide, which may include your name, business contact details and information about your requirements. We use those details to respond to your enquiry, discuss our services and, where appropriate and lawful, follow up on the potential business opportunity.

Submitting a lead form does not, by itself, constitute consent to receive a marketing newsletter. Any subsequent marketing communication must have an appropriate legal basis and comply with the rules applicable to the recipient. Google processes information on its platform under its own terms and privacy information.

6. Website contact forms and enquiries

When you submit a website enquiry, we use the details provided to process and reply to your message. Fields identified as required are necessary for us to handle that enquiry; if you do not provide them, we may be unable to respond. Other information is optional unless we explain otherwise.

Enquiry information may be handled by our website hosting, email and IT service providers to enable delivery and management of the message.

7. Business communications and direct marketing

As a B2B services company, we may contact current clients and relevant professional contacts with information about our CGI, architectural visualisation, animation and related services, where applicable law permits. This may include a limited and relevant introductory email to a business contact whose professional role is connected with our services.

For personal data used for direct marketing, we rely on legitimate interests only where lawful and appropriate; where consent is required, we obtain it. In particular, the rules for marketing to companies may differ from those applicable to individuals, sole traders and certain partnerships, including under UK electronic marketing rules. We do not assume that a publicly available email address is unrestricted for marketing.

You may object to direct marketing at any time. To opt out, reply to a marketing email requesting removal, use an unsubscribe link where provided, or contact office@visioaxis.com. We will stop using your personal data for direct marketing following such an objection. We may keep limited suppression information so that we respect your preference in future.

Providing information in a project enquiry does not automatically enrol you in a newsletter. We do not sell personal data or marketing contact lists.

8. Cookies, analytics and advertising

Our website uses cookies or similar technologies that are necessary for its operation and may use optional technologies, including Google Analytics and Google Ads, to measure visits, website performance, conversions and advertising effectiveness.

Our cookie controls distinguish between Necessary, Preferences, Analytics and Marketing categories. Cookies and similar technologies that are not strictly necessary and require consent must not be activated before you make an affirmative choice. You can accept, reject or customise optional categories through our cookie consent interface.

You can change or withdraw your cookie consent at any time using the Cookie Settings or Cookie Declaration control available on our website. Withdrawal does not affect processing that was lawful before withdrawal. You can also manage cookies through your browser, although this may not provide the same control over all technologies.

For details of the cookies currently in use, including their purposes, providers and applicable lifetimes, please refer to the Cookie Declaration available through our website's cookie controls. Third-party services may process information under their own privacy notices. Where we embed external media or other third-party services, additional cookies or data processing may apply if those features are enabled.

9. Who we share information with

We disclose personal data only when reasonably necessary for the purposes described in this Policy, including to providers of website hosting, email, cloud storage, analytics and advertising, business administration, IT support, and accounting or legal services. Where necessary for project delivery, we may share relevant information with collaborators or service providers subject to appropriate safeguards.

Depending on the service and the circumstances, these organisations may act as processors acting on our instructions or as independent controllers. We may also disclose information where required by law or to establish, exercise or defend legal claims.

We do not sell personal data.

10. International transfers

Some services we use may process or store data outside Bulgaria, the European Economic Area or the United Kingdom. Where a transfer is subject to applicable international data transfer rules, we rely on a recognised adequacy arrangement or appropriate safeguards, such as relevant standard contractual clauses, together with any additional measures required in the circumstances.

You can contact us for further information about relevant transfer safeguards, subject to applicable confidentiality restrictions.

11. How long we keep information

We retain personal data for no longer than necessary for the relevant purpose, taking account of the nature of the relationship, our reasonable business needs, the risk of disputes and applicable legal retention requirements. In particular:

  • Enquiries that do not become projects: retained while the enquiry or prospective relationship is active and for a limited follow-up period based on the most recent meaningful interaction.
  • Client and project records: retained during the working relationship and afterwards where needed for contractual, warranty, legal claim or legitimate business record purposes.
  • Invoices and accounting records: retained for the period required by applicable accounting and tax law.
  • Marketing contacts: retained while the professional relationship or lawful marketing purpose remains relevant, with periodic reviews; records necessary to honour opt-outs may be retained for longer.
  • Website logs, analytics and cookie preferences: retained according to their purpose, the configured service and cookie retention periods, and any legal requirements.

We delete, anonymise or securely archive information when the applicable retention criteria no longer justify active use. You may ask about the retention criteria applicable to your information by contacting us.

12. Security

We use reasonable technical and organisational measures appropriate to the personal data and risks involved to help protect information against unauthorised access, accidental loss, misuse, alteration and disclosure. Access is limited according to business need, and we review relevant security arrangements as appropriate. No system or method of transmission can be guaranteed to be completely secure.

13. Your data protection rights

Subject to applicable law and any relevant exceptions, you may have the right to:

  • access the personal data we hold about you;
  • request correction of inaccurate or incomplete data;
  • request erasure of data in appropriate circumstances;
  • request restriction of processing;
  • object to processing based on legitimate interests;
  • object at any time to the use of your personal data for direct marketing;
  • receive certain data in a portable format, where applicable;
  • withdraw consent at any time where processing relies on consent; and
  • complain to a competent data protection supervisory authority.

To exercise a right, contact office@visioaxis.com. We may request information reasonably necessary to verify your identity. We normally respond within one month of receiving your request, subject to lawful extensions, identity verification where necessary, and applicable exceptions. Withdrawing consent does not make earlier lawful processing unlawful.

14. Supervisory authority

Our principal EU supervisory authority is the Commission for Personal Data Protection (CPDP), Bulgaria: https://cpdp.bg.

You may also have the right to complain to another competent supervisory authority, including in an EU or EEA country where you live or work, or to the UK Information Commissioner's Office where UK data protection law applies: https://ico.org.uk.

We welcome the opportunity to address your concern directly, but you do not need to contact us before making a complaint to an authority.

15. Automated decision-making

We do not use personal data to make solely automated decisions that produce legal effects or similarly significant effects on individuals. Analytics and advertising tools may produce aggregate statistics or measure interactions, but they are not used by us for such significant automated decisions.

16. Children's information

Our website and services are intended for business and professional audiences. We do not knowingly seek to collect personal data from children through our enquiry or marketing activities. If you believe a child has provided personal data to us, please contact us so we can assess the appropriate action.

17. External links and third-party platforms

Our website may link to external websites, professional networks, portfolio presentations or third-party services. Their privacy practices are governed by their own notices. This Policy does not apply to processing carried out independently by those third parties.

18. Changes to this Policy

We may update this Policy to reflect changes to our services, website technologies, business practices or legal requirements. The current version will be published on our website with its updated date. Where required by law, we will provide an additional notice or request renewed consent.
